Why do we go through the process?

The request process is designed to help facilitate the matching of a user wanting coaching or mentoring to an appropriate Coach or Mentor.

From a user's point of view, they can get recommendations from the admin team and management.

For admin and management, they can keep track of coaching and mentoring within the organisation, make sure matches are appropriate and manage purchase orders if applicable.


The Request

For the purposes of this document, we use the terms Coach or Coachee, although the same is true for Mentors and Mentees.

The approval stages are set by your organisation, and may not apply.

Making a Request

The user wanting to be coached ('Coachee') makes a request for coaching. Within their application, they will submit why they want coaching, the subject matter and other relevant information.

Admin Approval

Once the request is submitted, it will be sent to your organisations Admins and/or Champions. They will review the request, and have to approve or decline it. If this is declined, a reason will be given why. This step may not be in place for your organisation.

Select a Coach

Once the request has been approved by the Admin team, the Coachee will have to select a Coach. At this stage, a Coachee can contact multiple coaches before selecting one, as part of a 'Chemistry Meeting' - click here to find out more. 
Recommendations may also have been made by the Admin team. An Admin can choose the Coach/Mentor as part of the request.

Sponsor Approval

At the start of the request, a Sponsor should be selected by the Coachee - this is usually their line Manager. At this stage, the Sponsor will review the request and who has been selected as Coach. If applicable to your organisation, they will produce the purchase order. At this stage, the Coach will not have received this request on the system, in case the Sponsor declines the selection. This step may not be in place for your organisation.

Coach Acceptance

Once the Sponsor has approved the request, it will be sent to the Coach. Even though discussions may have occurred, they should review the request and what the Coachee wants to achieve. Once they have done so, they can accept the request for their services.


Relationship Created

When the Coach accepts the request a relationship is created. Information from the request is used for the relationship details, so the request stays on your profile until the relationship is closed.


What if things don't go to plan?

Admin Approval Declined

If the Admin team decline your request, the request will still be live. They will have provided a reason as to why they have done so. This information can be used to re-submit the request, if you should wish. Alternatively, you can delete the request completely and create a new one.

Sponsor Approval Declined

If the Sponsor declines the request, this will also take the request back to the initial phase. You will have to either edit the request and resubmit, or delete the request. Again, the Sponsor will be required to give a reason as to why the request was declined, allowing you to make this decision.

Coach Declined

If the Coach declines the request, they will also have to provide a reason for this. The request is still live and you are able to edit this to choose an alternative coach.
